Our monthly update on the project to modernise payment and prior approvals as part of the eDental programme, covering:
- ePrior Approval
- eOrtho payment and approval
- the rollout of our eDental web form

The new ePrior Approval system changes have now been implemented and the live early adopter pilot phase has commenced with web form users.
One PMS supplier is due to begin the fit for purpose testing process with us on 2 February 2018. Each supplier must undertake fit for purpose testing and e-prior approval accreditation testing before they can roll the changes out to their customers. All PMS suppliers were asked to provide timescales, by the end of January 2018, of when they expect to complete their development of Prior Approval. Details of PMS supplier progress can be found in the PMS supplier pages.
All paper GP17-1 prior approval requests must be submitted electronically from 1 October 2018 and paper requests will no longer be accepted beyond that date. If your PMS supplier is not ready in time for 1 October 2018, you will need a web form account in order to submit Prior Approval requests. You will need to allow for a lead time of around 2 weeks, in order to complete the required paperwork and turnaround of your user account.
eOrtho payment and approval
Development continues in support of Orthodontic payment and prior approval. Current orthodontic specialist providers, Assisortho and Orthotrac were asked to provide timescales of when they expect to complete their development of eOrtho payment and approval. One general PMS supplier has at this stage committed to the development. To understand the latest position, check the PMS supplier pages. A meeting has now also been arranged with every PMS supplier in February 2018 to discuss upcoming changes, of which Orthodontic payment and approval is part. An Orthodontic specialist day has been planned for Monday 16 April 2018 and will be held in Edinburgh at our offices - Gyle Square, Edinburgh. You are reminded that paper submissions for Orthodontic Prior Approval requests and payments will no longer be accepted after 1 January 2019.
eDental web form rollout
39 of the planned 42 practices anticipated to use the web form have now moved across. Some practices who previously submitted paper, and were due to move across to a PMS supplier, are not in a position to do so. As an interim solution, a further 4 practices have been set up on the web form, with a further 1 to move across.
Practice management system (PMS) supplier update
We previously advised all practices that the eDental project Board agreed to extend the deadline for all PMS suppliers to have transitioned all their customers across to eDental. The initial date of 31 December 2017 was extended to 31 January 2018. As at 31 January 2018, around 18% of dental practices were still to transition. Practitioner Services understand how important it is to dental practices that their cash flow should not be interrupted, and to this end, we agreed at a project board meeting on 22 January 2018 that we would work with our own suppliers to extend the current Electronic Data Interchange (EDI) service until 31 March 2018.
Suppliers have been asked to support their customers in moving them across to eDental well in advance of the extended deadline and not to put at risk the cash flow of a dental practice by not completing the transition until the last days. Where the practice is required to update hardware, please ensure this is done promptly, so as not to delay your transition. Failure to act quickly could result in your practice not being able to submit claims after 31 March 2018.
eDental transition update for all Electronic Data Interchange (EDI) practices
As at 2 February 2018, all PMS suppliers are accredited and are either in the process of transition or complete. Carestream (R4+), Dentally, Goodteith, Software of Excellence (SoE) (Exact and SOEL Health) are in the process of transition. Systems for Dentists (SFD) are complete. WYSdom and Computer Surgery are pending rollout.
